🎯 How you will make an impact:

We are seeking an organized and proactive Office Manager for our office in Karlsruhe-Durlach to keep our daily operations running smoothly and ensure our workplace is efficient, welcoming, and compliant. In this key role, you will manage administrative processes, coordinate office logistics, and support our teams so they can perform at their best.   • Serve as the first point of contact for guests, suppliers, and employees - ensuring a friendly, professional reception experience.

  • Oversee office operations, including procurement, incoming and outgoing goods, and inventory management.

  • Handle orders for beverages and office supplies, ensuring availability and cost efficiency.

  • Coordinate employee onboarding, including access and key management, workspace setup, and administrative onboarding tasks.

  • Manage travel expense reports and related documentation in collaboration with accounting.

  • Maintain data protection standards and ensure compliance with company and legal regulations.

  • Oversee fleet management, including vehicle coordination, insurance documentation, and maintenance schedules.

  • Support general office and facility management, including vendor communication and contract oversight.

What you need to be successful:

  • Several years of experience in office administration, executive assistance, or facility management.

  • Strong organizational and multitasking skills with a hands-on attitude.

  • Confident communication style and a service-oriented mindset.

  • Proficiency in MS Office and familiarity with digital office tools.

  • Fluency in German and English.

  • Discretion, reliability, and a proactive approach to problem-solving.
