YOUR IMPACT

We are looking for a Personal Assistant to the CEO who will play a pivotal role in enabling our leadership to focus on what matters most. In this role, you will directly support the CEO in both professional and personal matters (70%) while providing selective support to the broader Leadership Team (30%). If you thrive in a fast-paced environment, are highly organized, and enjoy being the trusted go-to person, this role is for you.

As the Personal Assistant to the CEO, you will play a critical role in enabling efficient leadership at the highest level of the organization. You will take full ownership of the CEO’s calendar, travel, and external relationships while also providing focused support to the wider leadership team when needed. By proactively managing priorities, preparing essential documentation, and serving as a trusted point of coordination, you will help ensure that leadership time is used effectively and that the organization can scale smoothly.

WHAT YOU WILL DO

  • Owning and managing the CEO’s calendar, travel planning, and external engagements, including professional and occasional private commitments

  • Supporting the CEO with inbox management, meeting preparation, and follow-up tasks such as board meeting minutes and stakeholder documentation

  • Coordinating with internal and external stakeholders (advisory board, shareholders, partners) to strengthen key relationships

  • Managing expense reporting and reimbursement processes for the CEO.

  • Providing occasional scheduling and travel support to the broader leadership team for complex itineraries and high-priority meetings

  • Ensuring smooth workflows and processes that maximize leadership effectiveness and minimize friction

WHO YOU ARE

  • Highly organized with exceptional attention to detail and the ability to anticipate needs before they arise

  • A strong communicator with excellent written and verbal skills in English (and ideally German)

  • Experienced in managing complex calendars, travel logistics, and confidential information with discretion

  • Comfortable balancing strategic priorities with day-to-day administrative tasks

  • Proactive, resourceful, and adaptable, thriving in a fast-paced and dynamic environment.

  • Skilled in using productivity tools (e.g., Google Workspace, Slack, project management platforms)
