Job description
As part of the growth and structuring of our Finance & Operations team, we are looking for an Administrative Assistant to support daily financial processes, supplier management, and travel administration. You will report directly to the Head of Finance and work closely with internal teams, suppliers, and our accounting firm.
Key Responsibilities:
Finance & Administrative Support
- Process and track supplier invoices in Yooz
- Coordinate with the accounting firm, internal teams, and suppliers
- Verify supporting documents, follow approval flows, and monitor payments
- Maintain organized digital records and assist with monthly closing
Travel & Expense Management
- Supervise the company’s travel management tool (Perk)
- Support employees with bookings and travel-related questions
- Review and validate expense reports and ensure compliance
Internal Coordination
- Act as an administrative point of contact for project and engineering teams
- Prepare simple reports, trackers, and documentation
- Support general administrative tasks (collect letters,mail, document management, small logistics)
Profile required
- Experience in administrative, finance, or accounting support
- Comfortable with digital tools and SaaS platforms (Yooz/Perk, DATEV is a plus)
- Organized, detail-oriented, proactive, and communicative
- Ability to work in a fast-moving, technical startup environment
− Excellent written and spoken German and English; French is a plus
